Year-long course commencing semester 2 for students who are out of sync.

The year-long Year 3 Workplace Learning Portfolio (WLP) course is designed to support longitudinal progressive development of skills in the clinical environment. This is achieved through WLP tasks to be completed during all Year 3 courses. The WLP tasks comprise Mini-Clinical Evaluation Exercises (Mini-CEX), Direct Observation of Procedural Skills (DOPS) and Compulsory Observed Procedural Skills (COPS). Through Clinical Participation Assessments (CPAs), student development will also be monitored across the Domains of Professional and Clinical Practice; Professional Practice; Reflective Practice; and Social/Cultural competence and safety. Evidence of student development is aggregated in the UQ MyProgress platform. You are encouraged to plan your learning activities prior to the commencement of clinical placements and to actively engage in feedback processes to enable longitudinal clinical development. A mid-year review of the WLP will assist staff and you in identifying areas for improvement, and the strategies required to achieve this.

Current medical education research highlights the value of a longitudinal approach to learning and assessment in the clinical environment. Evidence of progressive development of clinical and procedural skills, accumulated over time, is more likely to be sustainably beneficial than use of only a limited sample of assessments.

A longitudinal approach provides more opportunities for you to demonstrate and review your development, and to engage with and respond to regular feedback, in the clinical environment in order to improve performance over time.

During the year-long WLP course, you will complete tasks that will be documented and assessed using an electronic platform. These tasks comprise, Task Plans and Reviews, Mini-Clinical Evaluation Exercises (Mini-CEX), Direct Observation of Procedural Skills (DOPS) and Compulsory Observed Procedural Skills (COPS).

In addition supervisors will make an assessment of your performance across 7 different domains using the Clinical Participation Assessment (CPA). For this course, your development will be monitored across four domains of Professional & Clinical Practice.

  1. Engagement in Practice
  2. Professional Practice;
  3. Reflective Practice; and
  4. Social/Cultural competence and safety.

The remaining domains of the CPA contributing directly to the other parallel course in each Semester (e.g. Mental Health, Surgery) include:

  1. Clinical communication;
  2. History;
  3. Examination;
  4. Clinical Reasoning 

Finally supervisors can also flag if you are underperforming or showing exemplary clinical performance. For more details see the Assessment section of the Course Profile.

Assumed background

This course builds on learnings from courses in Years 1 and 2 of the MD Program, in particular from courses in Clinical Practice. The knowledge we expect you to have gained from these courses includes but is not limited to basic approaches to clinical assessment, including history and examination, clinical and professional communication skills, clinical reasoning, and basic principles of management, as well as procedural skills learned in Years 1 and 2. You are urged to review notes and learning materials from earlier courses in the program as appropriate during this course.

Task description

The WLP Task Plan is a short online form that allows you to plan what WLP tasks you hope to complete during your upcoming clinical placement blocks and how you will engage with the placement team to achieve these tasks and your other learning goals. It is also an opportunity to outline how you will learn from CPA feedback and act on this feedback in upcoming placements. You are required to complete one WLP Task plan at the commencement of each clinical placement block

  • 2 for Hospital Practice Semester, and
  • 3 for Comprehensive Community Practice Semester or
  • 3 for Women's and Children's Health or
  • 3 for Women's, Children's and Mental Health Semester

For your end of year Summative Portfolio review, you will need to have completed a total of 5 Task Plans at an acceptable level.  

Criteria & Marking:

The WLP Task Plan contributes to the Mid-year and Summative Portfolio Review. Failure to submit the minimum number of WLP Task Plans by the end of each Semester will have consequences for your performance in the Mid-year Portfolio Review, and in the case of the Summative Portfolio Review, may result in you failing the WLP.

Task description

Mini-CEXs are real-life brief (up to 15 minutes) episodes of care or interaction between a student and a patient, observed by the supervisor, and rated on a standard rating form. Three types of Mini-CEX are included in the WLP: History, Examination, and Management. You will be given a global rating of your performance as either 'At standard' or 'Not yet at standard.'  

Completion of an electronic Mini-CEX form will automatically submit each Mini-CEX as it is completed. 

Criteria & Marking:

You are required to submit a minimum of 8 Mini-CEXs each Semester across Years 3 and 4, with a total of 16 per year.  

Failure to submit the minimum number (8) by the end of each Semester will have consequences for your performance in the Mid-year Portfolio Review, and in the case of the Summative Portfolio Review, may result in you failing the WLP. See Criteria & Marking under Mid-year Portfolio Review and Summative Portfolio Review for more detail.

Refer to the Electronic WBA platform (My Progress) and Blackboard for details of the different type of Mini-CEXs available and further guidelines. There is no upper limit on the number of Mini-CEXs you can complete.

If you receive a 'Not yet at standard' rating for a Mini-CEX, your must reflect upon this in your WLP Task Review. This is designed to assist you to identify actions to enable you to improve your performance in future WLP tasks.

Whilst the 'Not yet at standard' Mini-CEX are able to be submitted and counted towards the 16 total, it is recommended to do more Mini-CEX in the same category to improve your performance.

Task description

Direct Observed Procedural Skills (DOPS) are facilitated opportunities for students to practice core clinical skills, to be observed and to engage in feedback.  During Years 3 and 4, you will be asked to complete the required DOPS 'At standard'. You are encouraged to take every appropriate opportunity to perform these skills under supervision.

Compulsory Observed Procedural Skills (COPS) are procedural skills which you must at least observe during Years 3 and 4 of the MD Program.  Please refer to Blackboard for the complete list of DOPS and COPS.

Criteria & Marking:

  • You are required to submit a minimum number of completed DOPS and observed COPS each Semester across Years 3 and 4 of the MD Program. DOPS that have any criteria assessed as 'Not yet at standard' cannot be included in the total number of DOPS for the year.
  • You must complete and submit a minimum of 10 DOPS in each semester (Semester 1 and 2). By the end of Year 3, you must have completed and submitted a minimum of 23 DOPS 'at standard'.   
  • You must also submit a minimum of 5 COPS in each semester (Semester 1 and 2). By the of Year 3, you must must have completed and submitted a minimum of 10 COPS. Refer to the Blackboard Handbook for specified list of DOPS and COPS to be completed in these totals.
  • By the end of Year 4, you are required to complete all 46 listed DOPS and 20 COPS (refer Blackboard Handbook) so it is important to ensure that a variety of DOPS and COPS are completed in Year 3.
  • Failure to submit the minimum number of DOPS and COPS by the end of each Semester will have consequences for your performance in the Mid-year Portfolio Review, and in the case of the Summative Portfolio Review, may result in you failing the WLP. See Criteria & Marking under Mid-year Portfolio Review and Summative Portfolio Review for more detail.
  • There is no upper limit on the number of DOPS and COPS you can complete. Although once the requirements are met for a specific DOP/COP then any over this number will not be counted towards the summative total.
  • If you are rated as 'Not yet at standard' in any DOPS you must reflect upon this rating in your WLP Task Review and repeat the DOP until you receive 'At standard' rating. This is designed to assist you to identify actions to enable you to improve your performance in future WLP tasks.

Task description

The WLP Task Review is a short online form that allows you to review what WLP tasks you have completed during your clinical placement block and if you met your learning goals for the placement. You will use this as an opportunity to reflect on your feedback from your WLP tasks and CPAs, including specific review of any unsatisfactory/borderline or 'Not yet at standard' ratings you have received. You are required to complete one WLP Task Review at the end of each clinical placement block:

  • 2 for Hospital Practice Semester, and
  • 3 for Comprehensive Community Practice Semester or
  • 3 for Women's, and Children's Health Semester or
  • 3 for Women's, Children's and Mental Health Semester

For your end of year Summative Portfolio review, you will need to have completed a total of 5 Task Reviews at an acceptable level.

Task description

The Medical School considers that participation and engagement at clinical placements fundamental aspects of the MD program, consistent with the framework of self-directed and life-long learning and indicative of the need for clinical competence and professional conduct in addition to theoretical knowledge.

In all courses during Years 3 and 4 of the MD program, you are assessed on your professional conduct and clinical skills and the extent to which you have contributed and engaged in your clinical placement and clinical learning activities. The nature of these activities will vary according to the placement, but may include admitting/clerking patients, assessing patients at outpatient clinics, presenting at ward rounds and demonstrating initiative in attending other activities such as grand rounds.

Scoring in the Clinical Participation Assessment (CPA) is based on conduct and contribution during ward rounds and case discussions, initiative in seeking learning opportunities, behaviour towards peers and medical (and all other) colleagues, patient assessment, ability to succinctly present a patient case including differential diagnosis, and awareness of social and ethical issues including risk assessment.

  • Reflective Practice
  • Social/Cultural Competence and Safety

There is also a Student Flag component which allows a supervisor to report a student with concerning unprofessional or unsafe behaviour. The Student Flag component also provides a mechanism for notifying exemplary performance to the School.

To maximise your learning, you are encouraged to actively seek feedback from your clinical teacher/s during your clinical placement. This will assist in identifying any areas requiring further improvement before your final Clinical Participation Assessment is completed. Active engagement in the clinical setting is a requirement to pass this assessment task.

The CPA rubric can be found in the Blackboard Course Site and on your ePad (electronic WBA platform) for guidance so that you are familiar with marking criteria for each component.

Criteria & Marking:

The CPA is a global assessment of professional and clinical practice. These components contribute to your overall performance in the following ways:

  1. If you are enrolled concurrently in another Year 3 and/or 4 course/s, other than the Personalised Learning Course, four components of the CPA contribute to the other course/s (Clinical Communication, History taking, Examination Skills, Clinical Reasoning) and the remaining components (Engagement in Practice, Professional Practice, Reflective Practice, Social/Cultural Competence and Safety and Student Flag) contribute to the WLP course.
  2. If you are not enrolled concurrently in another course, all CPA components contribute to this WLP course.

Additional information may be received by staff from clinical placement site/s where you completed this course. This will be reviewed by the Course Coordinator and ratings completed by your supervisor in the CPA may be revised. For example, if your supervisor rated you as satisfactory related to professional conduct but the Medical School has other information available, the supervisor’s ratings may be moderated based on this additional information.

Your performance will also be reviewed at the End of Semester Examiner’s meeting and following discussion you may receive a non-graded fail for the course, if: 

  • There are any unsatisfactory results recorded in any of the CPA components contributing to this course (including moderations made by the Course Coordinator)
  • There are four or more borderline results recorded in any of the CPA components contributing to this course (including moderations made by the Course Coordinator)
  • The required number of CPAs have not been submitted to your supervisor for completion by the due date.

Factors that will be taken into account during the review undertaken at the End of Semester Examiner’s meeting include: 

  • Evidence of temporal improvement in performance across the course (if applicable)
  • Completion and content of the WLP Task Review in response to unsatisfactory or borderline ratings
  • Relative opportunity available across the semester
  • Other factors relevant to your performance

Performance Hurdle: You must complete and meet the passing standard to pass the course.

Submission guidelines

A function of the CPA discussion and form completion is to consider information from the whole placement. Therefore, you are expected to complete your CPA discussion and submit your CPA form during the final week of placement. Given clinician availability, there may be times when this is not always possible. If you complete your CPA discussion and submit your CPA form before the final week of placement for placements of 3 weeks or less, or before the penultimate week of placement for placements longer than 3 weeks, additional information obtained by your supervisor or Course Coordinator maybe considered to add to that discussed and submitted. Therefore, you are discouraged from completing the CPA discussion and form submission early.

You are expected to engage in discussions about your performance with your supervisor or their delegate throughout the course, preferably face-to-face. To ensure you receive synchronous feedback from your supervisor or their delegate, you are encouraged to request your supervisor to complete the assessment in real-time before the end of your placement. However, if your supervisor is unable to assess in real-time, you have the option to submit your CPA to your supervisor or their delegate, on or before the due date specified in the Assessment Section of this Course Profile, using the Email for later option in MyProgress. CPAs submitted after the due date without an approved extension will not be accepted and may result in a course failure.

If your supervisor has not assessed your CPA within 7 days after submission, you are encouraged to send a gentle reminder email to your supervisor via MyProgress. If there are problems contacting your supervisor or if your CPA remains unassessed, please contact your local Student Coordinator.

You may be able to apply for an extension.

Late submission

If you fail to meet the submission deadline for any Clinical Participation Assessment without an approved extension, it will not be accepted and may result in course failure regardless of whether the supervisor has rated your participation at a satisfactory or proficient level in the related course components.

At the half way point of the year (not necessarily calendar year, in the case of out of sync students), a Mid-year Portfolio Review is conducted, which considers the amount and quality of evidence accumulated by students from all WLP activities. This includes Mini-CEX, Task Plan and Task Review, DOPS and COPS and the following WLP-focused aspects of completed CPAs: professional practice, reflective practice, social/cultural competence and safety and student flag section.

Criteria & Marking:

For the WLP course mid-year review, you will be considered to be showing insufficient progress in the WLP if:

  1. You do not submit the required number of CPAs to your supervisors (or delegate) over the semester by the due date.
  2. The CPAs have any unsatisfactory results or four or more borderline results recorded across the semester in the domains of Professional Practice, Reflective Practice and Social/Cultural competence and safety, and the student flag section (regardless of how many CPAs are received)
  3. You do not submit a minimum of 8 Mini-CEX for the semester by the due date
  4. You do not submit a minimum of 10 DOPS rated as 'At standard' & 5 observed COPS items for the semester by the due date
  5. You have not completed a minimum of 1 WLP Task Plan and 1 WLP Task Review at an acceptable level per Clinical Placement Block (2 for Hospital Practice semester and 3 for Comprehensive Community Practice semester or 3 for Women's and Children's Health Semester or 3 for Women's, Children's and Mental Health Semester.)

Using the criteria above, the MD Portfolio Review Group will identify students who are showing insufficient progress in the WLP and at risk of failing the Summative Portfolio Review. These students will be required to reflect on their progress in their next Task Plan and outline how they will achieve sufficient progress in the following semester. This reflection will be considered in the student's performance in the Summative Review.

Task description

At the end point of the year (not necessarily calendar year, in the case of out of sync students), a Summative Portfolio Review is conducted, which considers the amount and quality of evidence accumulated by you from all WLP activities. This includes:

  • Task Plans and Reviews
  • Mini-CEXs
  • DOPS, COPS,
  • CPAs: WLP-focused aspects (Professional Practice, Reflective Practice and Social/Cultural competence and safety, and the student flag section)

The Summative review may also examine any WLP Task Reviews that reflect upon Unsatisfactory or Borderline ratings in CPAs, or 'Not yet at standard' ratings in Mini-CEX or DOPS.

The Summative review may also examine WLP Task Plans that reflect upon the Formative Review where relevant.

Criteria & Marking:

End of year Summative Review data collected during the second semester of this course will be reviewed. You will be found to have insufficient evidence and may fail the WLP course if:

  1. You do not submit the required number of CPAs to your supervisors (or delegate) over the semester by the due date.
  2. The CPAs have any unsatisfactory results or four or more borderline results recorded across the year in the domains of Professional Practice, Reflective Practice, and Social and Cultural competence and safety, and the student flag section (regardless of how many CPAs are received).
  3. You do not submit a minimum of 16 Mini-CEX for the year by the due date.
  4. You do not submit a minimum of 23 DOPS rated as 'At standard', and a minimum of 10 COPS for the year by the due date.
  5. You have not completed the minimum of 1 WLP Task Plan and 1 WLP Task Review at an acceptable level per clinical placement block.  (2 for Hospital Practice semester, 3 for Comprehensive Community Practice semester, or 3 for Women's, Children's and Mental Health Semester).

Using the criteria above the MD Portfolio Review Group will identify students who have showed insufficient progress in the WLP. This will be discussed at the End of Semester Board of Examiner’s meeting. In undertaking this review, the End of Semester Examiner’s meeting will take into account factors including but not limited to:

  1. Evidence of temporal improvement in performance across the course
  2. Completion and content of WLP Task Reviews completed by you that reflect upon Unsatisfactory or Borderline ratings in CPAs, or 'Not yet at standard' ratings in Mini-CEX or DOPS. 
  3. Relative opportunity available to you across the course.
  4. Other factors relevant to the your performance.
  5. Completion and content of WLP Task Plan (Learning plan) in response to the Formative Review (if relevant).

Insufficient demonstration of longitudinal learning and improvement throughout the year may indicate a limited commitment to professional development and growth across the entirety of the learning journey.

The review will include only WLP tasks submitted electronically to the UQ My Progress platform in the period of the review as shown above.

Deferral or extension

You cannot defer or apply for an extension for this assessment.

Late submission

WLP data entered after the due date will not be considered in the assessment.

Non-graded pass: Demonstrated evidence of competency in meeting course learning objectives:

You will pass the course when you:

  • Achieve a PASS for the Summative Portfolio Review (see Assessment Items)

Marginal fail:

You will be considered to have marginally failed the course when you fail to meet the minimum required number of WLP tasks detailed below:

  • Completed 14 or more of the 16 required Mini-CEX
  • Completed 20 or more of the 23 required DOPS “at standard”
  • Completed 8 or more of the 10 required COPS
  • Completed 4 or more WLP Task Plans and 4 or more WLP Task Reviews.

Please note: There is no compensation between these WLP tasks, such that more mini-CEX cannot compensate for fewer numbers of DOPS.

Non-graded fail: Insufficient evidence of competency in meeting course learning objectives:

You will FAIL the course when you:

  • Record a FAIL grade in the Summative Portfolio Review (see Assessment Items)


If you fail the Year 3 Workplace Learning Portfolio, you will be required to undertake the Supplementary Workplace Learning Portfolio course. 

If you have not completed all Year 3 discipline based courses, you will be awarded an INC grade until you have successfully completed these courses.

Supplementary assessment

Supplementary assessment is not available for some items in this course.

If you fail the Clinical Participation Assessment (CPA), you will not be eligible for a supplementary assessment/examination. These assessments are based on the successful development and demonstration of professional competencies over the entire clinical placement and a record of attendance at all clinical placement days throughout the entire clinical placement, as required in the Medical Program Participation Guidelines.

Supplementary assessment will only be awarded where, in the judgement of the Associate Dean (Academic), you have marginally failed to attain the level of competence required for a passing grade in this course as per Assessment Procedures.

Remark of assessment

Mini-CEX, DOPS and Clinical Participation Assessment (CPA) are not eligible for requests for re-mark. These assessments comprise expert evaluation, in some cases over an extended period within an authentic clinical learning environment which cannot be duplicated. These assessments therefore cannot be re-marked, and they cannot be cross-marked by another examiner.

Previous academic difficulties

If you have experienced academic difficulties in previous years of the Program or during clinical placement, you are encouraged to reflect on the nature of these difficulties and discuss any need for extra assistance with your Course Coordinator/s and clinical unit / Learning Community at the beginning of the course.
